Mailguard FAQs

Notice: This item is marked as outdated.

Q: How do I delete quarantined messages?
A: All quarantined messages are automatically deleted by the server after a period of 14 days. When using the Aggressive Spam Deletion policy, messages are quarantined for 30 days.

Q: What can I do with spam that reaches my Inbox even though I have the filter on?
A: Please forward those messages to hc.email@hunter.cuny.edu.

Q: Are the daily digests a cumulative list of all quarantined messages?
A: No. The daily digests only contain a list of quarantined messages from the previous day. The weekly digest sent to you on Friday contains a list of all quarantined messages.

Q: I just released a quarantined message from my daily digest, but I can't find it anywhere in my email client!
A: Some released emails might be a few days old and might not appear at the top of your Inbox list. The easiest way to locate the message is to perform a search for the word 'Released', which will be contained in the subject line. Messages can also be blocked by client-side rules. Therefore, you should also check your local spam folder. Mailguard will not put its blocked spam into your spam folder.

Q: Is there any way in which "false negatives" can be corrected? That is, is there any way in which spam which finds its way into my Inbox can be identified as spam?
A: Apparent spam email that gets past Mailguard may be of the following types:

  • Authentic spam that is not currently recognized as such;
  • Email that does not score high enough to be blocked by the default ruleset or the ruleset you have chosen. (Click the 'Manage My Account' link followed by the 'Profile' button at the bottom-left of the Proofpoint web page for rulesets that you can choose from.)
  • Promotional or informational material that you have agreed to receive as part of a subscription, license agreement or purchase.

The last category can be tricky to block, since Proofpoint should not be configured to block email which has a legitimate origin. While individuals can add addresses or entire domains to the Blocked Senders List, it carries the risk of blocking useful email as well, such as invoices, billing or account info, and so on.

These subscriptions may have been required as part of an agreement or purchase, or they may have been an unnoticed 'opt-in'. Many sites add people's emails to announcement lists unless they select some kind of 'opt-out' checkbox or button.

Unsubscribing from these lists can often be done from within the announcement email, by clicking on a URL to go to the sponsor's website or a labeled URL for unsubscribing. The Mailguard server will block almost all email with misleading URLs, so it will generally be safe to click on these links.

Remember to check carefully what you agree to when visiting a website, subscribing to some kind of bulletin, or making an online purchase.

Q: I'm tired of having to find an old digest in order to manually generate digests and access my Profile.
A: Your Profile page is static. You can bookmark the page in your browser or save the link for future use.

Please do not forward or share your digests with other people. Doing so might increase the possibility of unwanted changes being made to your Mailguard spam filter setup or malicious activity.
