About the Outlook Exchange Migration Process

Group Migrations and Individual Migrations

The ICIT project team is coordinating with departments to set migration schedules both individually and in groups:

Group Migrations

Group migration is the simplest option. The schedule is worked out between the department and the project team, and migrations are done in bulk.

Individual Migrations

With individual migrations, the department notifies the project team which migration candidates will be done individually, and relays ICIT instructions for self-scheduling to the individual.

In both cases users will use Outlook Web App (OWA) to access their email after the migration, and post-migration assistance will be available via the Helpdesk or this web form: https://ww3.hunter.cuny.edu/icit/view.php?id=36

Before, During, and After Migration

Before Migration

The project team will reach out to key department contacts. These contacts should respond to the project team for a briefing and additional details. These key contacts will assist with scheduling, notification and dissemination of information within their areas.

A list of people in the department who will be migrated will be provided after initial outreach. Only those with accounts still on the old system will be listed.

Regarding temporary staff:

  • College Assistants are often students. As such they will have one email account for academic use (@myhunter.cuny.edu), and one on Outlook Exchange for work purposes.
  • Temporary faculty (e.g. adjuncts, lecturers, visiting professors) will most likely be migrated to Outlook Exchange unless it is certain they will not return by Spring 2015.

During Migration

  • Email and contacts stored on the old system will be migrated to Outlook Exchange.
  • Starting at the time of migration, which will be communicated in advance via email, users can access Outlook Exchange via OWA (mail.hunter.cuny.edu) for all new email.

After Migration

  • Immediately following migration, users should check OWA to verify that contacts and emails from the old system are present.
  • Users may contact the Helpdesk or use the online web form to request post-migration assistance, including help configuring supported applications for Outlook Exchange on Hunter and non-Hunter devices, like your smartphone or laptop.
