Off-Campus Trips

In-person events, off-campus trips and off-campus events have been suspended until further notice. All club events must take place in a virtual setting.

 

    APPROVAL PROCEDURE FOR OFF­-CAMPUS TRIPS 

Trips Covered by These Guidelines

The following guidelines for domestic travel are for currently enrolled undergraduate or graduate students participating in sponsored trips. 

STUDENT ORGANIZATION OFFICERS, MEMBERS, ETC. ARE NOT AUTHORIZED SIGN OUTSIDE CONTRACTS, AGREEMENTS, ETC WITH VENDORS, CONTRACTORS OR VENUES. 

PROCEDURE:
"Domestic travel" is classified as any activity or event leaving CUNY property but within the 50 states of the United States including trips to museums, field trips, leadership retreats and conferences.

A "sponsored trip" is any event or activity that takes place off campus with the purpose of extending and supplementing learning opportunities in a way not possible within the usual College setting that is organized, supported, or financed by an office, department, division, or a student organization of the college and that is funded by student activity fees or monies that are in the control of the College, the University, or a University/College­ related entity, such as auxiliary enterprise corporations, a college association, or a student services corporation.

Sanction Points: Recognized student organizations and publications have a responsibility to obey rules, policies and laws set forth by your student government/media board and administration. Violation of rules, policies and laws put your organization/publication and students at risk. Point values will be assigned for event/trip and fundraising procedure violations.


There are NO EXCEPTIONS to these rules!

Day Trips within the Five Boroughs:

 Two weeks before your trip:

  • Complete form at https://ww3.hunter.cuny.edu/sa/view.php?id=29780
  • Attach Flyer or Itinerary to form 
  • Attach Spreadsheet for (Inside 5 Boroughs)* to form 
  • Within 5 Boroughs Spreadsheet -Click here to fill out spreadsheet: (You must download as an Excel spreadsheet first, in order to fill it out)
    A completed spreadsheet with all eligible students should be uploaded onto the off-campus form.
    *Once you have submitted your forms, no additional students can be added

High Risk and Overnight Trips within the Five Boroughs

Four weeks before your overnight trip:

ALL OVERNIGHT TRIPS WITH 5 OR MORE STUDENTS ARE REQUIRED TO HAVE A CHAPERONE .
ALL STUDENTS ATTENDING OVERNIGHT TRIPS MUST BE SPARC CERTIFIED.

  • Complete the Off-Campus Trip Form at https://ww3.hunter.cuny.edu/sa/view.php?id=29780
  • Attach Flyer or Itinerary to form 
  • Attach Spreadhseet (Outsde the 5 Boroughs)* to form
  • Attach "Travel Approval Form" to form
  • Attach signed waivers*
  • Outside 5 Boroughs Spreadsheet-Click here to fill out spreadsheet: (You must download as an Excel spreadsheet first, in order to fill it out)
    A completed spreadsheet with all eligibile students should be uploaded onto the off-campus form.
    *Once you have submitted your forms, no additional students can be added 
  • Off-Campus Travel Approval Form
  • Off-Campus Activity Participation Waiver
  • SPARC Training Instructions 

Day and Overnight Trips Outside the Five Boroughs:

ALL OVERNIGHT TRIPS WITH 5 OR MORE STUDENTS ARE REQUIRED TO HAVE A CHAPERONE .
ALL STUDENTS ATTENDING OVERNIGHT TRIPS MUST BE SPARC CERTIFIED. 

 Three weeks before your day trip: Four weeks before your overnight trip:

  • Complete the Off-Campus Trip Form at https://ww3.hunter.cuny.edu/sa/view.php?id=29780
  •  Attach Flyer or Itinerary to form
  •  Attach Spreadsheet (Outside the 5 Boroughs)* to form
  •  Attach "Travel Approval Form" to form
  •  Attach signed Waivers*

*Please note:  

  • Hunter College does not permit international travel for student groups.

  • High risk local trips will require waivers and emergency contact info.

  • All students who will or may attend the trip must be on the list and sign waivers.  This includes waitlisted students.

GSA Travel Grant

Registered Hunter College graduate students are eligible to receive a one-time GSA Conference Travel Award for reimbursement of registration, travel, and/or lodging expenses associated with attending a professional or academic conference.* 

Awards shall be determined and allocated by the Graduate Student Association and may include:

  • Up to $500 for conference/event registration and travel/lodging for a conference attendee.
  • Up to $600 for conference/event registration and travel/lodging for a conference presenter.

Applicants must submit the following at least 4 weeks prior to travel:

  • GSA Application Conference Travel Award Application
  • CUNY Travel Approval Form/Waiver
  • One-page flyer for conference or a one-page itinerary indicating what you plan to do.

Application Deadline '19-'20 Academic Year: May 1, 2020.

Travel must conclude by: June 1, 2020.

Documents for reimbursement must be received no later than June 15, 2020.

*Domestic travel only.
