SERVICES FOR STUDENT CLUBS & ORGANIZATIONS

The Office of Student Activities (OSA) provides various services for Hunter College clubs and organizations.

Tabling Requests

Tables in the North and West Building 3rd Floor Lobbies are available for informational sessions, event promotion, fund raising, etc.

Clubs/Organizations are limited to 15 tabling events per semester.  Clubs/Organizations in the process of chartering are limited to 2 tabling events. Clubs/Organizations without charter may not use tabling events to fundraise. Please allow at least one week for tabling request processing and confirmation. Key Requests/Work Requests

Club/Organization officers must see Latysha Mckenzie in the Office of Student Activities (C001 North) to submit a request. Ms. Mckenzie is available M-Th, 11:00 am - 2:00 pm. Club/Organizations must be chartered in order to submit key/work requests. If the club/organization is not chartered, the president may request only one copy of key and/or work requests. The president must bring a copy of the election meeting minutes showing that he/she was elected to office. A request to change locks requires written permission of all clubs/organizations sharing the space. All officers must show Hunter identification when submitting a request. Club/Organization Events

All event forms must be completed and signed, with accompanying documentation before OSA’s approval. This includes Central Reservations and TH 105 booking acknowledgements.

Student Event Information Form – form must be completed and signed by:

  • president or treasurer
  • Public Safety
  • student government or media board

Event forms for off campus events do not require a signature by Public Safety.

Flyer – all event forms must be accompanied by a flyer. The flyer must include the club/organization name, location, date, cost (if free please indicate) and stamp by student government or media board.

Reservation form – all on campus events must include a completed space reservation form or confirmation, indicating your club/organization has permission to use the space. Please note: if you are having an event in your space, you must complete an event form. A space reservation form is not necessary in this case.

Beer and Wine – if you are serving beer or wine at your event you must apply for a temporary beer and wine permit. The permit must be signed by the VP for Administration and Dean Escott. The signed application must accompany your event form. Liquor is not permitted at any club/organization events. Failure to follow guidelines may result in disciplinary action.

Off Campus Events - If your club/organization is sponsoring an event at an off-campus venue, you must provide the Office of Student Activities with the following BEFORE you enter into any contractual agreement and before the event can be approved:

  • A copy of the facilities certificate of occupancy.
  •  A letter from those in charge of the facility or the NYC Fire Department indicating that the facility is in full compliance with all fire codes.
  • If alcoholic beverages are to be served, a copy of the facilities liquor license must be submitted. If the facility does not have a license, a New York State temporary wine and beer permit needs to be  obtained and a copy provided.
  • A letter from those in charge of the facility which describes, in detail, the security they will provide for your function.
  • Proof of liability insurance of at least $5,000,000
  • A Hunter College Student Event Information Form signed by the respective student government.
  • A draft of a flyer publicizing this event must be attached.
  • All contacts, including the names of both parties, must be submitted. The Hunter contract must be used and can be obtained in the College Association Office, 214TH

If traveling as a group to an event or establishment off campus, please note: CUNY has established guidelines for domestic travel. Please visit the OSA (C001 North) for more details. 

Funds for Events

The OSA has a limited amount of funds available to offset the costs of security for on campus events as well as conferences fees and expenses. OSA must approve the event before you can apply for these funds. Please visit the OSA (C001 North) for more information.

Advertising Club/Organization Events

To advertise undergraduate events using the bins on the 3rd floor of the North Building place flyers in your assigned bin.

Requirements: Must be a chartered undergraduate club or organization. The Undergraduate Student Government must stamp the flyer. Flyering is limited to your assigned bin. If your club/organization does not have a bin, please see Anne (M,W,Th,F 11-1) in the OSA (room C001 North) before October 22 to place an order for a nameplate. Your club/organization must be in the process of chartering to place the order.

To advertise in the OSA, leave 15-20 copies of your flier in (C001 North). The flyer will be available in our office and during our tabling events.
